Millette Administrators is a third-party medical claims processor for county jails and state prisons.

For VitalCore accounts, you must contact them for all authorizations, eligibility and payment status related matters.

Claim Status

For VitalCore related contracts, you may review claims status using our claims portal. This portal will enable you to look up your submitted claims for reimbursement, and to check their status. You will be able to view claims for patient inmates that were treated by a provider within your Tax ID.

Create an Account

Your username will always be your Tax ID and your initial password is your Tax ID.
You will then be prompted to enter a new password along with answers to some security questions. There is only one login per Tax ID. Please use a generic password if multiple users are accessing the account.

Portal FAQs

It will not let me login or create an account, what’s wrong?

  • There is one login per Tax ID. If you are getting an error, someone else in your office has most likely already set up an account. Please ask around internally before requesting a password reset as it will lock out existing users.
  • Use the second link (under the password field) on the homepage to check a claim without using a login.

How do I see a list of my submitted claims?

  • Click on the Start Here icon once you are logged in, and then Provider Claims List.
  • If you wish to view specific claims detail, click on the claim number hyperlink in the table.

What do “Check Date” and “Mail Date” mean on the Provider Claims List?

  • The Check Date* is the date that a claim was submitted, from Millette Administrators to Vital Core, for payment.
  • Mail Date is the date that a claim was paid by VitalCore.
  • If the Check Date field is blank, it means that the claim has not yet been submitted to VitalCore.
  • If the Mail Date field is blank, it means that the claim has not yet been paid by VitalCore, or that we did not receive the payment information.

What if I do not see my claim on this portal?

If you do not see your claim on the portal, it could be due to the following:

  • The claim is currently in our pended queue because of discrepancies in demographic information, waiting to be manually matched by claims processors.
  • The claim was recently submitted and has not gone through our clearinghouse yet.
  • The claim was submitted on paper and rejected due to poor quality.
  • The claim was submitted electronically and was rejected by one of the clearinghouses before reaching us.
  • The claim was sent via mail and we did not receive.

If you do not see a claim within days of electronic submission or 2-3 weeks of mailing submissions, please resubmit.
